Position Summary:

Beth Israel Synagogue, a vibrant Orthodox congregation committed to fostering meaningful Jewish life, seeks a detail-oriented and highly organized Administrative Assistant to support the day-to-day operations of the synagogue. This individual will play a key role in ensuring smooth communication, accurate record-keeping, and efficient coordination of synagogue events, services, and programs.

This position involves coordination with vendors, oversight of basic facility needs, and offering a warm, professional welcome to members, guests, and visitors. Responsibilities include managing mailings and publications, entering donations and sponsorships, scheduling and managing the synagogue calendar, completing local errands (e.g., bank deposits), maintaining synagogue records, and supporting communications across digital and print platforms.

The ideal candidate will be proactive, dependable, and consistently demonstrate professionalism, discretion, and sensitivity in all aspects of their work—whether engaging with clergy, lay leadership, congregants, or external partners. These qualities are especially important when assisting with the synagogue’s management of three cemeteries and a funeral home, which will be part of this role’s broader administrative responsibilities.

Key Responsibilities:

  • Serve as the primary point of contact for phone, email, and in-person inquiries
  • Manage the synagogue calendar, including scheduling of events, services, meetings, and lifecycle occasions
  • Coordinate logistics for services, programs, classes, holidays, and events, including communication with caterers, vendors, and service providers
  • Maintain accurate synagogue records, including membership information, donation logs, lifecycle tracking, and mailing lists
  • Prepare and distribute weekly email newsletters, Shabbos sheets, flyers, monthly bulletins, and other synagogue communications
  • Maintain and update the synagogue website with current events, announcements, and resources
  • Draft correspondence and official communications on behalf of synagogue leadership
  • Process incoming and outgoing mail, including bulk mailings and general mail sorting
  • Handle local errands such as bank deposits and supply runs
  • Order and track office and ritual supplies
  • Greet and assist guests, members, and visitors; foster a welcoming and respectful environment
  • Provide administrative support to the rabbi, executive director, and board, including preparation for board meetings and annual reports
  • Assist with billing, invoicing, and dues collection in coordination with the bookkeeper
  • Support cemetery and funeral home operations through scheduling, communication with families, and administrative record-keeping
  • Assist in maintaining synagogue facilities by coordinating with maintenance staff and vendors
  • Uphold confidentiality and demonstrate sensitivity in all interactions, particularly those involving finances, lifecycle events or pastoral concerns

Qualifications:

  • Prior administrative or office experience, preferably in a nonprofit, communal, or faith-based setting
  • Excellent written and verbal communication skills
  • Strong organizational and time management abilities; able to manage multiple priorities effectively
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Adobe; experience with synagogue management software (e.g., ShulCloud) and Canva is a plus
  • Familiarity with Orthodox Jewish practices, holidays, and community sensitivities
  • Ability to work independently and collaboratively with staff, clergy, and lay leadership
  • A professional, discreet, and welcoming demeanor in a member-facing environment

Work Hours & Compensation

  • This is an hourly position with the potential to transition to a salaried role with associated benefits in the future.
  • The position offers flexible hours, with an expected workload of 30–40 hours per week, depending on the candidate’s efficiency, availability, and preference for part-time or full-time work.
  • The starting hourly rate is $22–$25/hour, commensurate with experience and qualifications.
  • The position includes paid time off for federal holidays.
  • Additional benefits may be considered as the role evolves.
